Café Training Center
Building the Digital Infrastructure for a Masterclass Launch in One Week
How we launched Café Training Center's first masterclass—from idea to live event.
Project overview
One week to build what the launch ran on.
Café Training Center was preparing to launch its first live masterclass on August 7. Within one week, I built the core digital infrastructure supporting the launch—from the brand and landing page to the CRM, registration flow, and email communications.
The project continued after the live event, expanding into replay lead capture and a registration and onboarding system for Café Training Center's Pioneer Membership.
The challenge
Café Training Center was a new education business preparing for its first public launch.
The first masterclass was scheduled in a week. The business needed a brand, landing page, registration flow, CRM connection, and an email system to communicate with registrants before the event.
The Pioneer Membership was also part of the launch plan, with registration opening around the masterclass and onboarding following after payment verification.
The priority
The timeline was tight, so the first priority was getting the infrastructure needed for the live event up and running.
The one-week sprint
Seven days, idea to live event.
Each day moved one part of the system from plan to production.
-
July 31
Initial planning
A group chat was created to coordinate the launch. The initial timeline and plans for Café Training Center's first masterclass were shared, giving the team a starting point for the week ahead.
-
August 3
Project inputs
I received the landing page copy, Airtable registration form, and additional details needed to begin building.
-
August 4
Brand and landing page
I developed the initial brand identity and built the landing page.
At this point, I still didn't have access to GoHighLevel, and the masterclass launch was approaching quickly. I built the landing page outside of GHL so development could move forward immediately instead of waiting for platform access.
Building it externally also gave me more flexibility over the interface, without being constrained by GoHighLevel's front-end editor.
-
August 5
CRM setup and launch
I received access to GoHighLevel and connected the landing page backend to the CRM.
By the end of the day, I had configured the domain and connected the landing page to GoHighLevel, allowing the site to go live.
-
August 6
Event communications
I configured email sending in GoHighLevel, imported the masterclass registrants, and set up the reminder campaign for the live event.
-
August 7
Masterclass day
Café Training Center's first masterclass went live. By then, the core infrastructure—from the landing page and CRM connection to the event communications—was in place.
System 01
Masterclass communications
Registrations for the masterclass were collected through Zoom. With the launch approaching, I imported the registrants into GoHighLevel and set up the email campaign for the live event.
The campaign focused on keeping the masterclass top of mind as the event approached and making sure registrants had clear reminders to join.
The reminder sequence
-
10:00 AM
Masterclass-day reminder.
-
1 hour before
A reminder to prepare and join the session.
-
15 minutes before
A final reminder before the masterclass began.
-
7:00 PM
The masterclass is live.
The live session reached a peak of 72 attendees.
An approximate 50% show-up rate against registrations at the time of the event.
After the live event
The masterclass continued to be useful after the live session ended.
Existing registrants received the replay through the post-event email campaign.
I also built a separate path for people who discovered the masterclass after registration had closed.
The replay landing page created an additional entry point into Café Training Center's email ecosystem, allowing new contacts to receive future updates and nurturing toward future offers.

Pioneer Membership registration
The masterclass also introduced the Pioneer Membership. Interested members completed a registration form that collected their details and proof of payment.
The submission entered the GoHighLevel pipeline under For Payment Verification. The founder received a notification to review the payment.
Once the payment was confirmed, the opportunity could be moved to Payment Confirmed. That stage change triggered the next part of the workflow.
Pioneer onboarding
Payment confirmed, onboarding begins.
After payment confirmation, the new member automatically received:
- Confirmation of their Pioneer Membership
- A welcome message from the founder
- Instructions for the onboarding process
- A link to the onboarding form
The contact was also tagged as Pioneer
The onboarding form collected additional information needed to support the membership experience. This included:
- Mailing address for exclusive Pioneer merchandise
- Partner information for the enrollment discount
- Preferred affiliate code for the future referral system
Once the onboarding form was submitted, the contact was automatically tagged Onboarded

The pipeline gave the team a clear view of each member's progress, while the workflows handled the communications and next steps after payment confirmation.
Building around the launch timeline
The first priority was getting the masterclass infrastructure ready before August 7.
The Zoom registrants were manually imported into GoHighLevel so the reminder campaign could be set up in time for the event.
The Pioneer onboarding system was developed after the masterclass. Members had been informed that payment verification could take up to 72 hours, which provided time to build out the next stage of their journey.
This allowed the project to move in two phases:
Launch the masterclass
Build and deploy the brand, landing page, CRM connection, registration flow, and event communications.
Build what comes next
Expand the system with post-event communications, replay lead capture, Pioneer registration workflows, and member onboarding.
My contribution
Translating the plan into working infrastructure.
The launch strategy and customer journey were developed collaboratively with the founder and team. My role focused on translating those plans into working digital infrastructure.
I was responsible for:
- Creating the initial brand identity
- Designing and developing the landing page
- Deploying the website on Vercel
- Connecting the landing page to GoHighLevel
- Configuring email sending
- Importing and organizing masterclass contacts
- Setting up the registration and thank-you pages
- Building the masterclass reminder workflow
- Creating the post-masterclass replay flow
- Building the replay lead capture landing page
- Setting up CRM pipeline stages
- Implementing the Pioneer registration workflow
- Building automation triggered by payment confirmation
- Setting up Pioneer and onboarding tags
- Creating the Pioneer onboarding flow and form
The result
Within one week, the core digital infrastructure supporting Café Training Center's first masterclass was live.
By the time of the event, the masterclass had 140+ registrations and reached a peak of 72 live attendees, with an approximate 50% show-up rate.
The result was a connected set of systems that supported the launch and created a foundation for Café Training Center's future offers and member operations.
The customer journey it now supports
Masterclass registration
CRM campaign
Event reminders
Replay and post-event communication
Replay lead capture
Pioneer registration
Payment verification
Member onboarding
